Under general supervision of the CAO and Chair/Directors, the
Academic/Staff Personnel Coordinator provides lead personnel
administration and analytical support for academic, staff and
student personnel for Evolution and Ecology (a vibrant teaching and
research unit), two Centers with Directors, Executive Director, and
Associate Directors - Center for Population Biology and the Coastal
and Marine Sciences Institute - and one Grad Group Chair
(Population Biology Graduate Group) - a cluster of 4 units within
the College of Biological Sciences. All units have various funding
sources - state, federal and gift funds.
Serve as primary resource and subject matter expert for personnel
policy and practice to ensure compliance with University policy and
procedures. Responsible for all facets of the annual academic
review; analyze, review, prepare, process, track, and notify.
Determines eligibility of all academic titles and actions including
appointments, renewals, merits, promotions, appraisals, leaves,
benefits, changes in status, salary adjustments, appeals and
Provide administrative and analytical support for the recruitment
process for academic positions, and serve as a resource, providing
advice, interpretation, financial impact, and guidance regarding
academic personnel issues for chairs, directors, faculty, PI's,
managers, and staff. Provide the same comprehensive support for
staff, including undergraduate student employment. Submit all
payroll actions to AUSS-C for processing and then track cases for
This position also coordinates administrative functions and
reporting for Agricultural Experiment Station projects. As
requested, this position assists the CAO, department chairs, and
unit directors with special projects. Further, this position
exercises confidentiality and discretion with respect to the
management and handling of sensitive information.

personnel policies and procedures, recruitment of faculty and
faculty advancement. Experience compiling and preparing academic
dossiers, appointments, merits, promotions, appraisals,
recruitments, leaves, etc.
-Extensive experience and knowledge of UCPath, payroll, personnel
and benefits procedures. Experience with AggieService and entering
of cases for AUSS-C entry of payroll. Experience preparing visas
and/or permanent resident applications for international scholars.
Math skills to calculate salary adjustments and benefit/fee
-Experience with staff personnel policies and procedures and
bargaining agreements. Knowledge to apply complex policy documents,
labor agreements, governmental employment requirements and
regulations (e.g. Worker's Compensation, ADA, FMLA, Affirmative
Action) and related material.
-Skills to analyze, interpret and convey UC policies and procedures
relating to Academic Senate, Academic Federation, staff personnel,
graduate and undergraduate students, and postdoctoral students.
Knowledge of UCD graduate student, postdoc and undergrad student
employment titles, qualifications and requirements.
-Interpersonal skills to professionally and collaboratively
interact with individuals from diverse cultural backgrounds and
perspectives; skill to relay information to a wide variety of
individuals in a clear and concise manner.
-Written and verbal communication skills to effectively interact
with all levels of department and campus management. Experience
composing and editing documents and correspondence for accuracy,
consistency of format and grammar, and professional appearance and
style. Experience maintaining a high degree of discretion,
integrity, and sensitivity to confidentiality and privacy using
independent and mature judgement.
-Exceptional organizational skills and experience managing
projects, establishing workload priorities, and multiple tasks
independently including planning and coordinating assignments,
adapting to changing priorities, meeting deadlines and maintaining
