DEPARTMENT DESCRIPTIONUC Davis Continuing and Professional Education (CPE) is the academic division of the university dedicated to workforce and career development. CPE helps professional working adults upskill, reskill and advance their careers. CPE partners with campus schools, colleges and faculty to create global access to the distinctive knowledge and resources of UC Davis, and also works with employers and local experts to develop programs targeted to regional needs for economic development. More than 1,500 professionals teach in a wide array of specialized practice domains, including outstanding faculty from across UC Davis. Last year, CPE recorded nearly 74,000 enrollments in more than 4,400 classes, serving students from all 50 states and more than 100 countries. Courses are offered onsite and online in a variety of formats, including short courses, conferences, certificate programs and self-supporting master's degrees. Courses are open to the public and offered on a contract basis through partnerships with private companies, government agencies and international peer universities. CPE also manages the university's relationship with Coursera, a leading MOOC platform, and has generated more than a million enrollments through this partnership. CPE is completely self-supporting, generating more than $40 million in annual revenue from course fees, public and private contracts and grants. CPE employs approximately 180 employees (career, academic, contract and limited) and more than 60 student employees during peak periods, and draws on the expertise of approximately 1,700 instructors.JOB SUMMARYUnder general supervision, serve as account manager to multiple accounts; analyze financial management of awards, approve expenses, payroll & funding changes per rate and UCOP guidelines. Analyze and review use of CPE rates; create detailed reports and projections, propose rate adjustments to meet the need of the Division. Review and analyze payroll adjustments, approve and review account transfers, monitor awards with multiple accounts, manage cost share distribution, staff funding updates, review ledger and create monthly invoices, create back-up financial data per client requirements; expense/budget analysis, reconciliation and recommend solutions for process improvements. Manage awards from pre-award to post award close out; coordinate with PI on the creation budgets, provide risk analysis, review and submit awards. Smoking and tobacco use are strictly prohibited in indoor and outdoor spaces, parking lots, residential space, and University vehicles. https://ucdavispolicy.ellucid.com/documents/view/271QUALIFICATIONSRequired:Minimum Education/ExperienceMinimum one year budget review and financial analyses experience to include: building, reviewing, analyzing and presenting Rate-based and/or line-item budgets.Experience working in a high-volume financial environment with a complex accounting structure; reconciling general accounting, audit principles as they apply to payroll, effort reporting, cost share, expense and income reconciliation of ledger.Advanced computer experience to include use of web-based accounting, payroll, and position management systems as well as extracting and manipulating multiple data sources into meaningful reports using excel, pivot tables, spreadsheets and other reports as needed.Minimum Knowledge, Skills, and Abilities (KSA)Advanced analytical and critical thinking skills to identify/anticipate problems, independently gather fiscal data from several sources, analyze that data; and recommend and present budgetary action to stakeholders.Organizational and time management skills to achieve timely progress on multiple simultaneous complex projects, distribute effort appropriately among the projects, meet tight deadlines, goals, objectives and maintain a high level of productivity and accuracy.Skill to interpret and apply purchasing, accounting, payroll, and travel guidelines, policies and procedures while monitoring for compliance.Written, verbal and interpersonal and communication skills to interact professionally with customers (staff & faculty), colleagues, campus departments and other outside agencies.Preferred:Preferred Education/ExperienceExperience in Accounting, Finance, Business or other related discipline. Knowledge to determine allowable costs and to analyze and interpret terms of contracts and grants.Experience with for-profit and non-profit business contracting and funding practices and interests.Experience utilizing UC Accounting Systems and Resources; KFS, Effort Reporting, Cost Share, Aggie Travel, Pre-purchasing, UC Path, MS Excel to develop databases, pivot tables, programming functions and linking of multiple workbooks.Experience working with sensitive data and to discern level of confidentiality and keep appropriate information confidentialPreferred Knowledge, Skills, and Abilities (KSA)Knowledge to use FTP (File Transfer Protocol) for financial data feeds.Knowledge of fund accounting (Academic Institution preferred) effort commitment tracking and reporting, cost recovery, subcontracts and federal, state and private sponsor budgeting guidelines and regulations as they relate to intramural and extramural financial funds sources.Knowledge and understanding of Generally Accepted Accounting Principles (GAAP), financial accounting and reporting guidelines, and contract and grant fiscal administration policies.Knowledge of and operational level skills to understand and apply the Cost Accounting Standards and Office of Management and Budget Circulars (e.g.; A-21, A-110, and A-133).SPECIAL REQUIREMENTSBackground CheckThis position is a critical position and subject to a background check.
